o Fort Harrison has no camping at all, and is a
day-use property only

PAYMENT AMOUNT DUE WHEN BOOKING A
RESERVATION
Campgrounds (except youth tent and rally camp areas),
Cottages, Rent - A - Camp Cabins, Recreation Buildings and Shelters
- Full payment for the entire rental period of these facilities is required when the reservation is made.
Youth Tent Areas
- These facilities are designed for not-for-profit groups, the
majority of which are children, supervised by adults. Such groups could
include church youth groups, boy / girl scouts, etc.
- A set fee of $20/night (plus tax) will be collected at the time the
reservation is made. This amounts to 10 people at $2 per person.
- If more than 10 people arrive, the property will collect anything
over and above the initial $20 plus tax that was taken at the time of the
reservation, at a rate of $2 per person plus tax
- On the day of arrival, the customer will not be entitled to any
refund of the required minimum payment if less than 10 people arrive.
- If a group is tax exempt, they must follow the "tax exemption
process" to receive a refund for their taxes paid, after they have stayed.
- When
arriving at the property, the customer must be able to provide
verification of not-for-profit status if requested by management.
Rally Camps
- A set fee of $50/night (plus tax) will be collected at the time the
reservation is made. This amounts
to 5 units / families at $10 per unit / family.
- If more than 5 units / families of people arrive, the property will
collect anything over and above the $50 plus tax that was taken at the
time of the reservation, at a rate of $10 per unit plus tax
- On the day of arrival, the customer will not be entitled to any
refund of the required minimum payment if less than 5 units / families
arrive.
Cabins
- 50% of the total payment is collected at the
time the reservation is made; regardless of how many days prior to arrival
the reservation was made.
- The
customer has the choice to pay in full when the reservation is booked,
instead of just making a partial payment.
- COLLECTING REMAINING BALANCES
- If payment is not received by close of business 30 days prior to
arrival, the reservation will be cancelled and the cabin will be returned
to inventory.
- If a reservation is made less than 30 days prior to arrival, a message
will be sent to the customer, informing them of the balance due, and they
must pay it within 24 hours.
- If the balance isn't paid within 24 hours, the reservation will be
cancelled and the facility will be returned to inventory.
Group
Camps
- 50%
of the total payment is collected at the time the reservation is made;
regardless of how many days prior to arrival the reservation was made.
- The
customer has the choice to pay in full when the reservation is booked,
instead of just making a partial payment.
- COLLECTING REMAINING BALANCES
- If payment is not received by close of business 30 days prior to
arrival, the reservation will be cancelled and the group camp will be
returned to inventory. The customer service agents will memo note the
reason for the cancellation.
- If a reservation is made less than 30 days prior to arrival, a message
will be sent to the customer, informing them of the balance due, and they
must pay it within 24 hours.
- If the balance isn't paid within 24 hours, the reservation will be
cancelled and the facility will be returned to inventory.
- If a group is tax exempt, they must follow the "tax exemption
process" to receive a refund for their taxes paid, after they have stayed.
MAKING RESERVATIONS & CHANGING PRIMARY OCCUPANT NAMES
All Campgrounds (except Youth Tent Areas), Shakamak Cottages (not
Lincoln), Cabins, and Rent - A - Camp Cabins
- A
customer may make an unlimited number of reservations per phone call or on
the web.
- When multiple facilities are reserved for the same time period, the
primary occupant name must be changed for each reservation.
- The
main reservation holder can only be the primary occupant on one site during
the same time period.
- An
address for each primary occupant will also be captured; however, the
address can be duplicated when necessary.
Lincoln Pine Hills Cottages & Lincoln
Group Camp
- If a customer wants to reserve the entire camp at the discounted
Group Camp price, he/she will have to do so during the prior year's
recreation season. Examples below.
- From April 1st thru October 31st, a customer
can reserve the group camp for the next year, as soon as 1 year to-the-date
prior to arrival
- If I want the group camp for a week in June in 2013, I will have
to reserve it beginning that same week in June 2012, but prior to
October 31, 2012
- If I want a group camp for a weekend in October 2013, I will have
to reserve it between that weekend in 2012 and October 31st
2012.
- Inventory Freezes November 1 thru November 14 each year
- No new reservations during these two weeks
- No changes made to existing group camp or cottage reservations
during this time either
- Beginning November 15th of each year, individual cottage
and dining hall inventory becomes available for the following year
- Customers will pay full cottage and/or mess hall price
- Inventory for cottages is available on a six month rolling window
- When cottage inventory becomes available, customers can book for
arrival dates between April 1st thru May 15th of
the following year
- The "group camp discount" will not be given if a customer books
all of the cottages and dining hall separately. The discount ONLY applies
during the group camp booking window the previous year.
- A customer may make an unlimited number of reservations per phone call
or on the web.
- Available facilities: 1 dining hall (capacity 155), 1 cottage that
sleeps 4, 2 cottages that each sleep 6, 6 cottages that each sleep 12, 6
cottages that each sleep 16
- When multiple cottages are reserved for the same time period, the
primary occupant name must be changed for each reservation.
- The main reservation holder can only be the primary occupant on one
site during the same time period.
- An address for each primary occupant will also be captured;
however, the address can be duplicated when necessary.

arrival
- For example, on March 1st,
inventory for September 1st arrivals becomes available
- EXCEPTION: Lincoln
cottage inventory for arrival dates of April 1st thru May 15th
of a given year will not be available until November 15th of
the previous year
- In months that do not have 31 days, the
maximum booking window will "roll forward" to the next available date.
- For example, on February 28th,
a customer can book August 28th arrivals.
- August 29th, 30th
and 31st arrivals cannot be booked until March 1st.
- During a leap year, August 29th
arrivals can be booked on February 29th.
- A customer can book up to 13 additional nights
of inventory after the maximum window for their initial arrival date, but
maximum stay is 14 consecutive days.
- For example, on March 1st, a
customer can reserve September 1st thru the 14th
- On the web, the first day of availability will coincide with the
opening hour of the call center.
Thereafter, web reservations are available 24 hours a day (until
11:59pm the night before arrival)
Cabins, Shakamak Cottages (not Lincoln), Group
Camps, Recreation Buildings and Shelters
- Maximum of 12 months prior to date of arrival
- For example, on June 1st of one
year, inventory for June 1st arrivals the following year,
becomes available
- A customer can book
up to 13 additional nights / days of inventory after the maximum window
for their initial arrival date, but maximum stay is 14 consecutive days
- On the web, the first day of availability will
coincide with the opening hour of the call center.two nights before the day
of expected arrival)
MINIMUM BOOKING WINDOWS
All Campgrounds, Lincoln Pinehills Cottages,
and all Rent - A - Camp Cabins
- All 6-month facilities have a minimum of one
night prior to arrival
- No advance reservations will be taken at
the property at any time
- No advance reservations will be taken via
the web or call center on the day of arrival
Cabins, Shakamak Persimmon Lane Cottages (not
Lincoln), Group Camps, Recreation Buildings and Shelters
- All 1-year facilities have a minimum of
two nights prior to arrival
- No advance reservations will be taken at
the property at any time
- No advance reservations will be taken via
the web or call center 1 day prior to arrival, or on the day of arrival
MAXIMUM STAYS
All Campgrounds, Cabins, Cottages, Group Camps and Rent-a-Camp Cabins
- A single facility of these types can be reserved for a maximum of
14 consecutive nights
- The customer must vacate the property for a minimum of 2 nights
before returning with a new reservation
Recreation Buildings & Shelters
- A single facility can be reserved for one day at a time (hours
may vary by location)
- The customer can reserve multiple dates or facilities in one phone call
or one web session, but each reserved day will result in a separate
reservation
- These are day use facilities and the customer must vacate the
facility each night
MINIMUM STAYS (NON-HOLIDAY)
All Campgrounds (except Youth Tent Areas) and Rent - A - Camp Cabins
Year-Round

1 night on weekdays, Monday - Thursday

2 nights on weekends
o A Friday night rental must include a Thursday or a Saturday night
o A Saturday night rental must include a Friday or a Sunday night

EXCEPTIONS
o
ONE-NIGHT RELAXED RULE: If a
campsite is not rented within 3 days of arrival, it will be available for a one
night rental through the call center or web.Holiday weekends are excluded from this
relaxed rule!
o
If 7 nights or more are reserved, there
is no restriction on the weekend stay but the reservation cannot exceed the
14-night maximum rule
o Holiday weekends require the 3-night holiday minimum stays
(see holiday minimum stays)
o Gap Rule: If two reservations create a gap that allows a Friday or Saturday to be
available for a one night rental by itself, a customer will be able to reserve
that one night by itself. On a holiday
weekend, if 2 of the 3 required nights are available, both of those nights have
to be booked.
Youth Tent Areas
•
Youth tent areas require a one night
minimum, seven days a week, including holidays and weekends
Cabins
- General Reservation Season
- 2 night minimum, except for designated minimum
holiday stays, which override the 2 night minimum
- EXCEPTION, ONE-NIGHT RELAXED RULE:
- If a cabin is not rented within 14 days of arrival, it will be
available for a one night rental through the call center or on the web
- Required holiday minimum stays are
excluded from the one-night relaxed rule

- 7-night minimum (a/k/a "weekly rental")
- Arrivals will be on Saturdays, unless
two reservations create a gap that allows for someone to fill in a gap in
the middle of the week.
- If the weekly requirement has not been
met within 30 days of the requested arrival date, a customer will be
allowed to rent the cabin for a 2 night minimum
- NO one-night cabin rentals will be allowed during the PEAK summer
season, which includes one-night gaps that were created by other
reservations

Cottages
•

CHECK
IN & OUT TIMES
All Campgrounds
Check in and out time is 2:00 PM local time, except for Sundays and
designated summer holidays, when check in and out time is 5:00 PM local time.
Cabins
Check-in is at
4:00 PM local time, and check-out is at 11:00 AM local time, seven days a week,
including holidays.
Early Cabin Arrivals: If the customer
desires a guaranteed early arrival the customer will reserve the additional
preceding night and Active will note in the comment section that the customer
is an "early arrival - half day refund due
upon arrival". Upon check-in, the
property will perform an override of the price for half of the preceding night's
rental fee. This option is available
thru Active upon request by the property.
(This option is not available during peak season.)
Late Cabin Departures: If the customer
desires a guaranteed late departure (6PM Check Out) the customer will reserve
the additional night and Active will note in the comment section that the
customer is a "6pm late departure - half
day refund due upon arrival". Upon check-in, the property will perform an
override of the price for half of the additional night's rental fee. This option
is available thru InfoSpherix / Active upon request by the property. (This
option is not available during peak season.)
Cottages, Group Camps and Rent - A - Camp Cabins
Check in is at
3:00 PM local time, and check out is at 12:00 Noon local time, seven days a
week, including holidays.
Recreation Buildings & Shelters
Facilities
are generally available for day-use
from 7:00am through 11:00pm local time on the date of arrival. Customers must
vacate day use facilities at or before the designated "check out" time for
recreation buildings and shelters.
EXCEPTION:. Hours may vary slightly at some other locations too.
CANCELLATION & REFUND POLICY
All Campgrounds (excluding youth and rally areas) and Rent -
A - Camp Cabins
- If a reservation is cancelled 8 or more days prior to arrival, a flat
$10 cancellation fee will be charged (per reservation that is cancelled)
- If a reservation is cancelled between 1 and 7 days prior to arrival,
the first night's rental fee plus tax will be charged as a cancellation
fee (per reservation that is cancelled)
- If a reservation is cancelled on or after the day of arrival, the
customer will forfeit their entire reservation fee
- Cancellations may be done through the call center or on the web up
until one day prior to arrival
- Partial cancellations are not allowed.
- NO REFUNDS WILL BE GIVEN DUE TO INCLIMATE WEATHER!
Youth Tent and Rally Camp Areas
- If a reservation is cancelled one (1) or more days prior to
arrival, a flat $10 cancellation fee will be charged per reservation that
is cancelled.
- If a reservation is cancelled on or after the day of arrival, the
customer will forfeit their entire reservation fee.
- Cancellations may be done through the call center or on the web up
until one day prior to arrival.
- Partial cancellations are not allowed.
- NO REFUNDS WILL BE GIVEN DUE TO INCLIMATE WEATHER!
Cabins and Cottages
- If reservation is cancelled 31 days or more prior to date of
arrival, a flat fee of $25 will be assessed.
- If the reservation is cancelled between 1-30 days prior to the date
of arrival, the first night's rental fee plus tax will be assessed.
- If a reservation is cancelled on or after the day of arrival, the
customer will forfeit their entire reservation fee.
- Cancellations may be done through the call center or on the web up
until one day prior to arrival.
- Partial cancellations are not allowed.

Group Camps
- If a reservation is cancelled 91 days or more, prior to the date of
arrival, a flat $100 cancellation fee will be charged.
- If a reservation is cancelled between 1-90 days prior to the date
of arrival, the first night's rental fee will be charged.
- EXCEPTION: Camp Potawatomi at Tippecanoe River State Park,
during the winter or off-season months, there is no variation in the
cancellation penalty/fee. It will
be the first night's rental fee for a cancellation that is one (1) or more
days prior to arrival.
- If a reservation is cancelled on or after the day of arrival, the
customer will forfeit their entire reservation fee.
- Cancellations may be done through the call center or on the web up
until one day prior to arrival.
- Partial cancellations are not allowed.
- NO REFUNDS WILL BE GIVEN DUE TO INCLIMATE WEATHER!
Recreation Buildings & Shelters
- If the reservation is cancelled 15 days or
more prior to the date of arrival, the cancellation fee is 50% of the
initial rental fee.
- If the reservation is cancelled between 1-14
days prior to the date of arrival, the cancellation fee is 100% of the
initial rental fee.
- If a reservation is cancelled on or after the day of arrival, the
customer will forfeit their entire reservation fee.
- Cancellations may be done through the call center or on the web up
until one day prior to arrival.
- Partial cancellations are not allowed.
- NO REFUNDS WILL BE GIVEN DUE TO INCLIMATE WEATHER!
TRANSFER / CHANGE POLICY
All Campgrounds and Rent - A - Camp Cabins
- The transfer or change fee is $5 for each transaction.
- A transfer or change from one site and/or date
to another will be allowed up until the call center's close of business
the day before arrival.
- Transfers to another date cannot be made on or
after the day of arrival. A
customer must cancel and re-book.
- Transfers can be done through the call center,
but NOT on the web.
- Prior to the arrival date, a transfer can be
made to any property and does not have to be within the same calendar
year, but is dependent upon available inventory and booking windows.
- Transfers to another person are not
allowed.
- If the transfer facility is a different rate,
the appropriate refund or charge will be assessed to the customer.
- No fee will be assessed to change the primary occupant
name, but the reservation holder's name cannot change without
cancelling and re-booking under a new name.
Cabins, Recreation Buildings and Shelters

DAY OF ARRIVAL - WALK IN REGISTRATIONS
All Campgrounds, Cabins, Cottages, Group Camps, Rent - A - Camp Cabins,
Recreation Buildings and Shelters
- On the day of arrival only, the DNR staff will rent from the
remaining available inventory.
- The customer will be charged the regular rental fee for the
facility that they request.
- SHELTER EXCEPTION: If a shelter is not reserved in advance of the
arrival day, there will be no fee charged on the day of arrival for
walk-in shelter customers.
- Facilities that have not been reserved in advance of arrival will
be available on a first come first served basis at check-in time on the
day of arrival.
- Properties do NOT hold back any facilities for walk-ins because Indiana
is 100% reservable.
- Properties do NOT take advance reservations unless a customer
service issue arises that forces them to do so.
- The customer must be present to register for a facility on the day
of arrival. (Properties will not
take requests over the phone for customers who say they will arrive later
in the day.)
- A guest without an advance reservation will not be guaranteed a facility
to rent, or a maximum stay.
